Organisation of a scientific conference in Belgium

With this funding channel the FWO supports researchers with the organisation of scientific conferences in Belgium where the international and inter-university dimension is a central element of the programme.

Status

Objective

This grant, intended as co-funding, supports the organisation of scientific conferences in Belgium in which the international dimension and the cooperation between the Flemish host institutions are central elements.

International scientific conferences are an important means of stimulating scientific debate, disseminating knowledge and developing informal networks.

Features

TYPE I: grote internationale referentiecongressen in een bepaald vakdomein

  • TYPE I: big international reference conferences in a specific scientific domain (NEW since 01/03/2018)

    • Allowance: maximally 10% of total conference cost, maximum allowance of 10.000 euro.
    • Conditions:
      • International reference conference covering an entire scientific research field (domain);
      • Open character and thus accessible for everyone who wants to participate;
      • Presence of international keynote speakers. FWO encourages applicants to strive for a gender balance (max. 2/3rd of the same gender) among the keynote speakers;
      • Obligatory registration fee for participants;
      • More than 200 participants to be expected and significant presence of international participants (50%);
      • Scientific part of conference lasts at least three days;
      • Total conference cost minimally 50.000 euro. Costs need to be motivated in detail in the application;
      • Co-financing required and needs to be proven;
      • If one or more researchers affiliated to an institution in the French-speaking community are involved in the organisation of the conference, it is highly recommended to submit also an application for financial support at F.R.S.– F.N.R.S.

    TYPE II: international conference (Identical to former FWO funding channel for organisation of scientific conference in Belgium)

    • Allowance: maximally 5.000 euro.
    • Conditions:
      • International conference;
      • Open character and thus accessible for everyone who wants to participate;
      • Presence of international keynote speakers. FWO encourages applicants to strive for a gender balance (max. 2/3rd of the same gender) among the keynote speakers;
      • Obligatory registration fee for participants;
      • Co-financing required and needs to be proven;
      • If one or more researchers affiliated to an institution in the French-speaking community are involved in the organisation of the conference, it is highly recommended to submit also an application for financial support at F.R.S.– F.N.R.S.

    Submission applications as from 01/03/2018 (TYPE I as well as TYPE II): Continuous, minimally 6 months before start date of conference. Please be aware that as from 01/03/2018 in FWO e-portal there will be two separate application forms for TYPE I and TYPE II. Please use the correct application form.

Profile and conditions

  • The scientific and organising committee of the conference must include members of the independent academic staff (or equivalent staff categories) of at least two different Belgian scientific institutions, including one from the Flemish Community (for further details, consult regulations).FWO encourages applicants to strive for a gender balance (max. 2/3rd of the same gender) among the members of the scientific and organising committee.
  • Applications for a conference in the buildings of the Academia Belgica in Rome and organised by the Academia Belgica or the Belgian Historical Institute are eligible as well.
  • As the responsible spokesperson you are appointed as an independent academic staff member of a Flemish university. Other eligible appointments you can consult in the regulations.
  • You agree with the Research Integrity Clause.

Procedure

  • You submit your proposal via E-loket. Please be aware that it is essential to update your E-loket profile each time you submit a new FWO application.
  • The International Collaboration Committee (CIWC) evaluates your application and decides on the allocation of the funding.
